BSCRA Council Meeting – 13 February 2026  (Zoom meeting)

Introduction

Sadly Key Gray has passed away.  Kev made an immense contribution to the association, his work was essential to BSCRA's  membership, Nationals entry and voting processes.   The meeting was held to discuss what  action was needed..

Bob Budge had been in contact with Kev's family and they had been very helpful with access to Kev's computer information.   Bob gave the meeting very valuable information on what could be recovered


1/32 Nationals Entry

It was agreed that the most urgent problem was the entry site for the 1/32 Nationals.  Kev had not started work on this site.   We  already knew that would involve quite a lot of work as Kev needed to rewrite the entry sites for the meetings that are simpler to with new software during 2025
Thanks to James Cleave who has already developed a system for meeting entry based on Google Forms and has developed an enhanced version to deal with the additional complications of the 1/32 Nationals.   This is now in the testing phase and will be ready for use soon.

It was agreed this type of online forms will be used for other National events.


Clubman Nationals Entry

The 2026 Clubmans Nationals entry site  Kev created continues to work correctly.  The Clubman Nats is only a 2 weeks away,  it was agreed continue to use Kev's good work.


Membership

The existing online membership site Kev created continues to work automatically and is expected to do so until hosting or domain registration renewal fees are due.   Bob reported that the hosting and domain registrars are willing to transfer the site to a new owner given various formalities including a death certificate.    Transferring the existing site was discussed, the main concern was the difficulty for somebody new taking over maintaining it all without Kev's knowledge of how it worked.   

The Council gratefully accepted James Cleave offer to produce a new membership system using Google forms.  James and  Keith Gibson will work together on it.   We will continue to use the existing membership web site until the new one is ready.    The new one is expected to be ready before any renewal fees are due for the existing site.


Voting

Online voting will be needed for the annual round of  membership rule change voting in August.  Work will start on this after the more urgent work above has been completed


Work on the National Centre

There's been a lot of work on the National centre recently including track maintenance, upgrading the race control computer and system to allow live streaming and more information screens. The catering facilities are also in the process of being upgraded. Thanks to Sammy and Gavin Wills, James Cleave, Graham Woodward, Barry Gilzean and Chris Thomas
